Who is responsible for your data

What we collect

When you use the quote form, we collect:

• Your name, so we know who we are speaking to.
• Your phone number, so we can call you back about the quote.
• Your email address, because the written quote is sent by email. This is required.
• Your postcode, if you give it, so we know whether the job is inside our installation area or supply only.
• Anything you write in the message box, and any files you attach such as photographs, drawings or a window schedule.

We do not ask for and do not want payment card details, bank details or any identity documents through this website. Please do not send them by email.

Why we are allowed to use it

Our lawful basis is that processing is necessary to take steps at your request before entering into a contract, and where a contract follows, to perform it. Where you are enquiring on behalf of a business, we also rely on legitimate interests in responding to a trade enquiry. We do not rely on consent for the quote itself, so there is nothing to opt into.

Who else handles it

We use a small number of suppliers to run the website and our own office. They process your details on our instructions only, and none of them are permitted to use your data for their own purposes.

• Vercel, website hosting and delivery.
• Resend, which delivers the enquiry email. Our sending region is Ireland.
• Google Workspace, which holds the mailbox the enquiry arrives in.
• ClickUp, where an enquiry becomes a job record so nothing is lost between quote and completion.
• Victorian Sliders, the manufacturer, who receive the technical specification of your order. They do not need or receive your contact details for marketing.

Some of these suppliers are based outside the UK. Where data is transferred outside the UK, it is protected by the safeguards permitted under UK data protection law, such as the International Data Transfer Agreement or an adequacy decision.

Cookies and tracking

This site does not use advertising cookies, and it does not run analytics tracking such as Google Analytics. There is no cookie banner because there is nothing to ask you to agree to. Our host may set strictly necessary cookies needed to serve and secure the site.

How long we keep it

• Enquiries that do not become orders: up to 24 months, then deleted. Window projects are slow and people often come back.
• Orders: for the life of the guarantee plus six years, because we need to be able to honour a warranty claim and to meet accounting and tax obligations.
• Attachments such as photographs and schedules are kept with the enquiry or order they belong to and deleted on the same basis.

Your rights

Under UK GDPR you can ask us to:

• Give you a copy of the personal data we hold about you.
• Correct anything that is wrong.
• Delete it, where we do not have a legal reason to keep it.
• Restrict or object to how we use it.
• Provide it in a portable format.

Email info@sashwindowfactory.co.uk and we will respond within one month. There is no charge.

If you are not happy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Changes

If we change this policy we will update the date at the top of this page. Material changes affecting people we already hold data for will be notified by email.
